Privacy Notice (POPIA)

How participant information is collected, separated, protected and used.

Privacy and confidentiality by design

Effective date: 21 August 2026

Petroleum Market Pulse is a PetroleumOS Intelligence publication sponsored by the Fuel Wholesalers Association (Pty) Ltd (“FWA”). FWA is the responsible party for the personal information collected through the participant-verification process. Petroleum Market Pulse independently manages the questionnaire, confidential data collection, analysis and reporting. Sponsorship does not give FWA members or third parties access to identifiable participant responses.

Information we collect

The participant-verification form may collect your organisation name, contact name, work email address, optional telephone number, role, authority to respond, industry sector, geographic footprint and consent confirmations. We do not request identity documents, banking information, individual prices, margins or confidential trading terms.

The confidential industry survey does not request your name, employer, email address or telephone number. It uses a participant reference to support eligibility and duplicate controls while keeping analytical responses separate from contact information.

Why we use the information

  • To confirm eligibility and authority to participate.
  • To administer the quarterly survey and reduce duplicate responses.
  • To deliver reports and essential participant communications.
  • To produce aggregated, de-identified petroleum-industry indicators and research.
  • To protect the integrity, security and auditability of the research process.

Participation is voluntary. Consent confirmations are recorded in the verification form.

Separation and confidentiality

Verification/contact information and confidential analytical responses are collected in separate forms. Published results are reported only in aggregate. We do not publish respondent names, company-level answers or identifiable commercial information.

Service providers and cross-border processing

We use Cognito Forms and other authorised technology service providers to collect, host and administer survey information. These providers process information only for the services required to operate the research workflow. Where information is processed outside South Africa, appropriate contractual and organisational safeguards are applied in line with the Protection of Personal Information Act 4 of 2013 (“POPIA”).

Retention

Verification and contact information is retained only for as long as reasonably necessary to administer participation, prevent duplication and deliver the relevant report or related communications. It is reviewed periodically and deleted or anonymised when no longer required. Aggregated and de-identified research data may be retained for longitudinal market analysis.

Sharing

We do not sell personal information. Information may be shared only with authorised service providers, professional advisers or public authorities where reasonably necessary, contractually protected or required by law. Sponsors do not receive identifiable analytical responses.

Your POPIA rights

You may request access to, correction of or deletion of your personal information; object to certain processing; or withdraw consent for future communications. Submit a request through the FWA contact page. You may also lodge a complaint with the Information Regulator (South Africa).

Security

We apply reasonable technical and organisational safeguards, access controls and role separation to protect information against loss, unauthorised access, misuse or disclosure. No online system is completely risk-free, and any suspected compromise will be managed in accordance with applicable legal obligations.

Updates

This notice may be updated when the survey process, service providers or legal requirements change. The effective date above identifies the current version.
